    Holiday Vacations is seeking a Sales Administrative Assistant to work under the supervision of the Director of Media Relations and is responsible for assisting in administering all duties and projects that come under the responsibility of the Media Relations Department in the Eau Claire, Wisconsin corporate office.

     

    Responsibilities

     

    • Prepares contracts, five-part forms, market mailer requests and correspondence for stations
    • Collects and maintains documents and other required information from stations and hosts
    • Maintains all group accounts assigned by the Director of Media Sales
    • Solicits and maintains files for Holiday Vacations insurance for hosts and spouse/guest
    • Contacts traffic departments to verify our spots are on the air in a timely fashion
    • Maintains the Tour Status, Tour Spot reports and other reports as directed
    • Maintains all documentation with accurate pricing and configurations
    • Prepares sales kit tools for sales calls
    • Participate and ensure that all television and radio spots are accurate and produced on a timely basis.
    • Proof brochures, market mailers, scripts, newsletters, past customer mailings
    • Handle the electronic distribution of promotion spots (scripts) and travel show spots for television and radio accounts
    • Mail travel show letters, tour information and host brochures to hosts and station management.
    • Handles communication and administrative duties regarding deviation requests for hosts/spouses
    • Assists in answering in-bound customer inquiries regarding various components of our guided tours
    • Maintains the Outside Sales paper & electronic files
    • Registers Media Relations staff for all broadcast conventions including registrations, hotels, and sponsorship checks
    • Researches new leads and potential host for Media Relations Managers as directed
    • Other duties as assigned

    Qualifications

     

    • Associate’s Degree or equivalent work experience
    • Excellent attention to detail and follow-up
    • Ability to demonstrate strong written, oral, and interpersonal communication skills
    • Must exercise good judgment, decision making and problem solving
    • Deal effectively and professionally with a wide variety of people
    • Meeting deadlines that change frequently, deal effectively with time, pressure, stress and change
    • Ability to gather and analyze a variety of data
    • Ability to work independently
    • Knowledge of company goals and objectives
    • Proficient in Microsoft Word and Excel software programs
