Overview

Heidi’s Coffee Shop is a fast paced coffee shop that has a limited food menu, limited snacks and a small amount retail items for our purchase. This coffee shop is the only coffee shop located within Glacier National Park. It’s an extremely busy operation when it comes to making coffee. It’s located at the bottom of the spiral staircase in the historic Many Glacier Hotel. You ensure that the highest standards of coffee, retail and food service are met for the guests, the company, and the National Park Service. The assistant manager is responsible for directly overseeing all activity at Heidi’s when the manager is not present. You are to provide exceptional guidance, training, and leadership for the staff. You must provide professional guest service in a teamwork oriented, fast-paced environment, and must be able to perform the physical duties required for operation. Heidi’s Assistant Manager should expect to work between 40-46 hours per week and be flexible in regards to scheduling.

Responsibilities

  1. Provide and ensure excellent guest service by adhering to Xanterra’s Mission Statement, Hospitality Standards and Core Values.
  2. Follow all budgetary guidelines in regards to labor and sales goals with guidance from the manager.
  3. Maintain a professional and guest-oriented atmosphere in a high-volume retail environment.
  4. Provide initial and ongoing training to all employees throughout the season.
  5. Ensure that all employees are performing their duties properly.
  6. Maintain a cooperative working relationship with other departments.
  7. Must be able to perform all duties required of a lead associate and sales associate.
  8. Must comply with all ServeSafe guidelines and operate a safe food service area.
  9. Maintain an appropriate level of all food / beverage for the changing demand during the day.
    1. Fostering the goal of minimizing waste and providing good quality product.
  10. Demonstrate and train good sales techniques by performing suggestive selling and add-on sales.
  11. Ensure the sales floor is kept presentable at all times in regards to safety and guest perception.
  12. Ensure that accurate and helpful information is given to guests at all times.
  13. Alert the Retail Operations Manager to shrinkage, guest problems and concerns as necessary. 
  14. Maintain accurate shop records: reports, transfers, payroll and inventory control.
  15. Receive direct deliveries from suppliers and process the necessary documentation.  Make certain that paperwork is routed correctly and in a timely manner, and that all staff members are trained to do the same in the absence of a manager.
  16. Responsible for scheduling, supervising and developing gift shop personnel in conjunction with the manager.
  17. Responsible for maintaining proper employee files, disciplinary action paperwork, and assist with Mid and End of Season evaluations.
  18. Work directly with vendor representatives to order product, report shrinkage, and manage inventory levels to provide consistency in stock availability.
  19. Ensure that registers are routinely cleaned.  Report all register issues promptly. 
  20. Comply with Xanterra’s Environmental Management Systems (Ecologix) and look for ways to improve the impact your job has on the environment.
  21. Work with the entire store to track expiration dates of products and follow health safety protocols.
  22. Operate and maintain all food and beverage equipment.
  23. Responsible for ordering operating supplies and food/beverage items from the Warehouse.
  24. Complies with all state laws and Xanterra’s policies regarding the sale of Tobacco and Alcohol.
  25. All other duties assigned.

Qualifications

QUALIFICATIONS:

  1. Must have basic computer skills, including Microsoft Office programs.
  2. Past coffee shop experience is preferred.
  3. The ability to accurately handle cash per our cash handling policies.
  4. Must be comfortable with constant guest interaction; utilizes problem-solving abilities while maintaining positive and professional demeanor.
  5. Preferred experience with Raymark.
  6. Able to perform all duties of a Sales Associate and Lead Associate.
  7. Able to coach employees to maintain high and consistent standards in the shop.
  8. Understanding of a fast paced seasonal operation.
  9. Must be able to pass the approved ServSafe Training Program.
  10. Have an understanding of food service and previous food experience preferred.
  11. Able to work with minimal supervision.  Must maintain excellent attendance and punctuality.
  12. Demonstrate awareness of general security and theft prevention. 
  13. Driver’s License Preferred.

 
AUTHORITIES:

  1. Reports Directly to the Coffee Shop Manager.
  2. Represent the Retail Department in handling guest concerns, resolving problems in a professional manner to please our visitors.
  3. Maintain Gift Shop hours and adhere to opening and closing procedures.
  4. Manage payroll, delegate and supervise shop assignments.
  5. Coach employees, as needed, within the guidelines of Xanterra’s policy.
  6. Deal effectively with all vendors that deliver directly to the store.

 

PHYSICAL REQUIREMENTS:

  1. Able to stand/walk for a minimum eight-hour shift.
  2. Frequently lift and carry cartons weighing up to 50 lbs.
  3. Carry boxes/product up and down stairs or stepladders at most locations several times a day.
  4. Must be able to bend down or kneel to stock product frequently during a shift.
  5. Must know how to safely operate a hand-truck to assist in moving heavy items.
